Job Summary

This position is located in the Department of For-Hire Vehicle (DFHV). The primary purpose of the Clerical Assistant position is to provide clerical and administrative support functions or similar work to the assigned Administration or Unit and involves the application of procedures and practices within the framework of established guidelines.

Duties and Responsibilities

The Clerical Assistant receives all visitors and telephone calls for the supervisor, direct calls to the appropriate office or individuals, and schedules appointments. The incumbent types reports, letters, memoranda, and other documents as instructed. Prepares responses to correspondences, reviews outgoing correspondence for proper format and conformance with procedural instructions or guidelines. Maintains the time and attendance records for staff and coordinates submission to the payroll office.

The incumbent performs a wide variety of support functions to ensure the office’s smooth operation. Provides direct assistance to various Specialist or Analyst by performing specific duties or special projects. Identifies issues, problems, conditions and alternate solutions, based on the applicable rules, regulations and procedures. Serves as receptionist while performing primary tasks.  Maintains office supplies including ordering and distributing supplies requested by staff.

Qualifications and Education 

This position requires one (1) year of specialized experience equivalent to the next lower grade level. Specialized experience is experience which is directly related to the position which has equipped the individual with the knowledge, skills and abilities to successfully perform the duties of the position.
