The Meditation Center at THEARC, a program of the David Lynch Foundation, Center for Health and Wellness, is seeking a Program Coordinator to join its growing team. Based in South East Washington DC at the Town Hall Education and Recreation Campus (THEARC), The Meditation Center is dedicated to preventing and eliminating the epidemic of toxic stress and trauma by offering courses in the easy-to-learn, evidence-based Transcendental Meditation (TM) technique.
We are seeking an energetic, tech savvy, multitasker with excellent computer capabilities and good phone, communication and organizational skills. The Program Coordinator will provide a high level of administrative and programmatic support to The Meditation Center at THEARC and must be personable, organized and proficient with social media This is a part-time position that requires a person to be in the office 5 days a week. Duties include but not limited to:
Programmatic
Assist with tasks related to the planning and execution of The Meditation Center (TMC) programs and events such as Town Hall meetings, Group Meditations, Retreats, Ambassador trainings, and other special events. Provide support on the day that special events are held.
Coordinate all aspects of tabling and information dissemination at community outreach events held at THEARC, health fairs, conferences, etc.
Work closely with TM teachers to conduct follow-up with organizations interested in launching TM pilot projects and/or courses, and with individuals interested in learning TM.
Maintain and update TMC mailing lists including key community leaders, local donors,
THEARC partners and others.
Responsible for helping TMC to maintain a strong social media presence and keeping FaceBook, Instagram and the TMC Web Calendar up to date.
Assist, as needed, with information gathering for TMC grant proposals.
Other duties as assigned by the Regional Director and Program Director.
Administrative
Be a daily presence in the office, greeting people who come for Intro Talks, TM Courses and meetings, as well as taking phone calls and scheduling meetings and conference calls using the Google platform.
Provide support to TM teachers by preparing forms and/or information packets for Intro Talks and TM courses. This includes, but is not limited to, collecting forms after each Intro Talk and instruction day; assisting teachers on the first day of instruction; ensuring that the pre-survey is administered prior to the first day of instruction; and being available to assist TM teachers with periodic evening and/or Saturday TM Courses.
Using the AppToto system, serve as a back-up in scheduling people for Intro Talks, TM courses, Group Meditations and Retreats.
Order office and teaching supplies, as well as marketing materials from the David Lynch Foundation. Receive and unpack packages from FedEx and UPS, and keep the supply closet stocked and well organized.
Maintain office equipment and ensure it is in good working condition. Order new equipment and furniture, as needed.
Ensure that the office and meditation rooms are kept clean by maintenance staff, but do light cleaning of kitchen, refrigerator and office in between cleaning by maintenance staff. Report problems to THEARC’S Maintenance Department and follow up to ensure issues are resolved.
Make TM information packets and/or copies of materials that are needed for Town Hall and other meetings. Create forms requested by the TMC Team. Keep a stack of informational folders prepared for persons who are signed up for Intro Talks, as well as others who request information from the Center.
Participate in weekly TMC Team meetings and other meetings as needed.
Qualifications
Previous administrative or office experience is required. (2-3 years)
Detail oriented with an ability to multi-task and meet tight deadlines.
A self-starter with a documented track record of working independently and effectively with minimal supervision.
A go-getter who is capable of researching new ideas generated by the Team and others and bringing information to the team for discussion.
Must be highly proficient with G Suite (Google Calendar, Drive, Hangouts, Docs, etc.)
Highly competent in using Microsoft WORD, Excel, and PowerPoint, as well as utilizing the Google platform to schedule meetings, conference calls and increase overall office efficiency.
Proven experience using software to create flyers, newsletters, forms and spreadsheets.
Advanced knowledge of social media with experience keeping Instagram, Facebook, Twitter and other social media accounts updated.
Ability to work on one's feet for several hours at a time for events and to lift 50 pounds comfortably when transporting equipment for tabling, etc.
