HELP WANTED: Families and Community Coordinator

About Achievement Prep:

Achievement Preparatory Academy ("Achievement Prep") is a college-preparatory public charter middle school in Washington, DC, serving scholars in grades four through eight. Achievement Prep serves scholars in grades 4-8. Achievement Prep's mission is to prepare students in grades four through eight to excel as high-achieving scholars and leaders in high school, college and beyond.

Families and Community Coordinator 

The Families and Community Coordinator oversees all family, enrichment, and community relations at Achievement Prep. He/she will build and manage relationships with scholars and families, local schools, community-based organizations, and volunteers across the Metro Washington DC area. The Families and Community Coordinator will recruit a robust pool of applicants for incoming classes, manage the scholar admissions process, including application review and acceptance processes, and work to effectively transition all admitted scholars. The Families and Community Coordinator will also design, manage, and facilitate the enrichment programs, regularly recruiting and integrating external speakers, volunteers, and staff into the curriculum, and manage the volunteer program. This position also serves as the primary point of contact for our Parents and Partners Association and all parent engagement programming. Responsibilities include:

FAMILY

Enrollment
• Oversee collection and maintenance of all scholar enrollment records
• Distribute appropriate scholar record information to teachers
• Oversee scholar transfers
• Review and update enrollment policies annually

Family Communication
• Develop and maintain a regular family communication strategy
• Develop and distribute monthly school family newsletter
• Oversee all regular family mailings and robocalls

Parent Volunteers
• Coordinate parent in-school volunteer program
• Organize and support Parents as Partners programs and activities
• Coordinate all school wide family events, including the New Family Dinner, Open Houses, Back to School Night, Parent /Teacher Conference Days, monthly family nights etc.

Recruitment
• Update/design all recruitment materials, including school brochure, translated material, and application
• Partner with Director of Strategy and Operations to develop and execute recruitment strategies throughout the year in support of school enrollment targets
• Conduct city-wide outreach at afterschool programs, community organizations, etc.
• Maintain Waiting List and mailing list
• Conduct school tours

Orientation
• Organize and facilitate orientations for new scholars
• Organize and facilitate orientations for new families
• Oversee new scholar assessment with the Director of Academic Achievement
• Organize returning family orientations

Volunteers/Enrichment

Volunteers/Tutors
• Recruit train, manage and retain qualified volunteers to serve as tutors, mentors, enrichment coordinators and guest speakers in support of the school and its scholars
• Work closely with the full Achievement Prep team to identify current and future needs for volunteers and lead strategy development for their recruitment.

Enrichment Programs
• Oversee enrichment programming with outside service providers
• Assist in the development of new enrichment academic and arts programs
• Oversee other aspects of enrichment programming in coordination with the Director of Strategy and Operations.

COMMUNITY

Local Community
• Build and maintain relationships with feeder schools, community-based organizations and other groups that work with urban youth from a full range of communities and identify productive avenues to support recruitment of future scholars.
• Build awareness of Achievement Prep and our program in the community, including cultivating relationships with organizations able to provide out-of-school time programming and internship/apprenticeship opportunities for Achievement Prep scholars.
• Serve as the school's liaison to the surrounding community
• Design and produce regular reports on community outreach results and recommend future initiatives based on school needs.

DC Public Charter School Board
• Complete all annual DCPCSB specifically related to scholar enrollment/applications
• Maintain required scholar ID database
• Assist with the charter school renewal process

Grant Writing (as necessary and in conjunction with other school administrators)
• Assist with government grant writing
• Assist with other grants as needed

Qualifications and characteristics:
• A commitment to Achievement Prep and its values; an understanding of Achievement Prep's mission and unwavering commitment to fulfill it.
• A high level of personal integrity and professionalism.
• 2+ years experience and demonstrated success in community outreach and/or after school program management
• Demonstrated success building, managing, and growing meaningful relationships with a diverse range of constituents in the greater Washington DC community; experience with communities in Wards 7 and 8 a plus.
• Experience managing volunteer and parent engagement initiatives to successful outcomes
• Effective communication skills, with a gregarious nature and the ability to connect with people from a variety of different backgrounds
• A creative, resourceful, responsive style with a strong attention to detail and follow-through and the ability to work independently and as a team player
• Bachelor's degree or equivalent experience required
