Reports to: Executive Assistant to the CEO
POSITION SUMMARY:
This position reports directly to the Executive Assistant to the CEO. The Receptionist plays an important role within the Martha’s Table administrative team. S/he is responsible for providing coverage for Martha’s Table Administrative Receptionists during the week to ensure continuous and exceptional flow of support to all staff, volunteers, donors, and visitors. S/he is a community staple and is knowledgeable, friendly, and provides equivalent quality & professional front desk support.
During coverage the receptionist will be responding to and expediting all incoming calls from a multi-line phone system, greeting visitors in a welcoming and professional manner, handling walk-in requests and partnering with the Healthy Eating program to ensure consistent access and flow of the Martha’s Table Lobby Market.
The Receptionist must be able to foster and maintain interpersonal relationships as well as create a welcoming environment for all staff, clients, donors, and partners as s/he will be the first impression guests receive of Martha’s Table either in-person or via phone.
KEY RESPONSIBILITIES:
- Operates a multi-line switchboard; answering and directing all calls to appropriate staff or departments.
- Establishes and maintains professional relationships with staff, partners, volunteers, donors, and clients.
- Greets all visitors to Martha’s Table in a friendly and professionally manner and notifies appropriate staff of guest(s) arrival.
- Maintains security by issuing visitor badges.
- Monitors and ensure that the reception area is kept tidy and organized.
- Registers Lobby Market clients by gathering proper documentation and entering data accurately into program system.
- Monitors security cameras and grants access to guests at various entries on premises.
- Directs complaints, concerns, and grievances to appropriate staff.
- Partners with onsite security officer to ensure a safe environment for all staff and visitors.
- Shares general program knowledge with volunteers and inquiring guests either in-person or via phone.
- Assists with special events, as needed.

QUALIFICATIONS:
- HS Diploma, Associates or other college degree preferred
- 2+ years of experience in an office setting, managing multi-line switchboard phone system
- Computer literacy is critical (using MS Office applications)
