Fulbright Association seeks Administrative Assistant - $40k to $45k

The Administrative Assistant of the Fulbright Association oversees the day-to-day activities of the Fulbright Association national office. The work environment is rewarding, with a transparent, accountable organization and an opportunity of growth and professional development. This position reports to the Deputy Director and also works with the Board, Executive Director, Financial Consultant, and other leadership staff at the Association. This is a full-time position.

Key Responsibilities:

Front desk and databases/CRM management, membership emails, board meeting logistics, assist and supports all staff and programs in a small office.

  • Serve as lead contact for Fulbright International Travel Programs

  • Manages Board meeting logistics, including hotel reservations and preparing and distributing documents

  • Travel management (marketing, website, MOUs, itineraries, registration, payments, bank transfers)

  • Store management (item selection/ordering, stock, marketing, shipping)

  • Manages membership database(CRM) for data integrity, donor lists, including updating profiles, extracting lists and setting up conference registrations

  • Assists office accountant with bills and processing payments. Serves as point of contact for office vendors

  • Assists the Deputy Director in recruitment of interns and trains them in office protocol once hired

  • Processes membership dues and donations

  • Answers office phone, directs calls as necessary, and handles email inquiries

  • Manages membership activities such as maintaining member records, renewals, and prospect mailings

  • Maintains office supplies and re-orders as necessary

  • Other Program support as needed (national and chapter)
