Deputy Mayor for Operations and Infrastructure seeks Executive Assistant - $59k to $77k

This position is located in the Office of the Deputy Mayor for Operations and Infrastructure.  The incumbent serves as the Executive Assistant to the Deputy Mayor responsible for assisting the Deputy Mayor with a wide range of administrative, programmatic and executive responsibilities.

Duties and Responsibilities

Acts as an intermediary for investigating critical and sensitive matters that may be of interest to the supervisor. Researches and analyzes problems or program/office issues, and administrative requirements. Based on operations and changing program/office requirements, identifies relevant issues for the supervisor. Advises the staff throughout the office on any management or policy changes that have not been otherwise communicated through formal changes. Acts as coordinator for collection of data/special assignments from the supervisor; and in this context, ensures that deadlines are also met. Identifies problems and advises the supervisor of the various alternative solutions and their consequences, so that he/she may make final decisions.

Responds to inquiries and administrative issues brought to the supervisor's attention. Notifies the appropriate staff members of the need for information or recommendations and either prepares the response or follows up to ensure a timely response by others.  Analyzes and evaluates issues and activities to resolve problems and improve work processes. Inquiries into issues, gathers data, and prepares recommendations on the resolution of issues.

Qualifications and Education

Candidate must possess at least one (1) year of specialized experience equivalent to the grade 09 level. Specialized experience is experience which is directly related to the position and has equipped the individual with the knowledge, skills, and abilities to successfully perform the duties of the position such as researching and analyzing problems or program/office issues, and administrative requirements; planning and coordinating multiple assignments and project activities simultaneously that involve a combination of priorities; or performing similar administrative tasks.
